Although not exclusive the list below describes the primary routes and categories under which we may retain and process your data. Where we may wish to share or process your data for alternative reasons we will seek and record explicit consent.
Lawful Basis
We will retain details of financial transactions involving the FFLM for a period of six years in order to comply with our obligations to maintain records for taxation and charitable organisation status.
This includes payments made by members to the Faculty as well as payments made by the FFLM to members and external organisations.
We may also be required to process other aspects of your data to comply with the law.
Legitimate Interest
The FFLM exists to promote the highest standards in forensic and legal medicine and protect vulnerable people. As part of this role we maintain a list of practitioners holding qualifications awarded by the FFLM.
We will maintain an accurate list of our current membership including dates of qualifications awarded and dates that each member was active with the FFLM including any specific Faculty roles held by that member. This will be held for the lifetime of the FFLM in order to ensure transparency and evidence of our continued promotion of standards. It is also a benefit to members even after they are no longer members of the FFLM as they will be able to obtain confirmation of qualifications/membership/validation of good standing as well as duration of membership held should any questions be asked about their practice.
Additionally, this would also include contacting existing members with regular updates on important issues within the field of Forensic and Legal Medicine as well as information on upcoming educational and training activities to help you ensure that your practice remains up to date.
Contract
When renewing your Associateship, Affiliateship, Licentiateship, Membership, Fellowship and Honorary Fellowship your payment forms the basis of a contract with the Faculty of Forensic & Legal Medicine. In return for your payment and maintaining your membership in good standing, the FFLM allows you to use your post nominals (where appropriate) and access discounted rates for many of our educational activities as well as the other specific benefits enumerated in the Faculty standing orders.
This is also the basis on which we hold and process information on our suppliers.
Your rights
You have the right to see the information we hold on you (including requesting a copy) and confirm how we process this. You also have the right to ask us to correct any inaccurate or incomplete personal data (you are able to amend much of your personal data via the website).
You may request that we erase the personal information we hold on you. This is also known as the ‘right to be forgotten’. It should be noted that this right is not absolute and there are a number of circumstances where it does not apply (e.g. retaining information on financial transactions to comply with the law).
You may exercise any of these rights by emailing forensic.medicine@fflm.ac.uk or writing to us at our office.
- If we are able to comply with your request, we will make the requested changes within one calendar month.
- If we are unable to comply with your request, we will explain to you the reasons for our refusal.
- If you are not happy with how your data is being or the way a concern has been dealt with and wish to make a complaint to the Information Commissioner’s Office (ICO) by visiting their website.
This privacy policy is live as of 25 May 2018. It is subject to change in accordance with the law and any changes will be posted on the website.
